Configuring Lead Retrieval Follow
Pathable comes with a built-in QR code/badge scanner that your exhibitors and sponsors can use to capture leads at your event. It is up to you to decide how to distribute it to your exhibitors. You have the option of giving the "power" to all of your exhibitors or sell it as an upgrade to earn extra revenue from your event.
Getting Started
Lead retrieval is a feature included when purchasing Organization Booths and will automatically be available to your sponsors/exhibitors.
The first thing you will want to do is decide whether to allow all your exhibitors access to the feature or limit it to a subset. By default, it will be available to all, but if you want to restrict access, from your Dashboard:
- Visit Settings > Organizations
- Check the box next to "Manually set which Organizations get lead retrieval"
- Save
After you've saved it, you'll need to enable the feature on a per-exhibitor basis:
- Visit Organizations
- Click the exhibiting organization that you would like to grant lead capture privileges
- Under Settings, towards the bottom of the page, check the box next to "Allow this organization to use lead retrieval"
- Save
Adding Exhibitor Staff
The next step is to add staff to each exhibiting organization. Staff will have the ability to edit the organization's listing page (e.g., upload a logo, edit the description, etc.) as well as have access to lead scanning capability.
You can add staff in bulk by importing them from the spreadsheet:
- Visit Data Import
- Download the "Speakers / Attendees Template" and fill in information about the staff (e.g., email address, first name, last name, company name, etc.)
- Start New Import Excel / CSV Spreadsheet
- Choose "People" from the Import Data Type dropdown
- Browse for your template, upload it and follow the on-screen instructions to Map Columns
- Return to Data Import
- Download the "Organizations Template" and fill in information about your organizations, listing the email addresses of the staff in the appropriate column.
- Start New Import Excel / CSV Spreadsheet
- Choose "Organizations" from the Import Data Type dropdown
- Browse for your template, upload it and follow the on-screen instructions to Map Columns
You can also add staff manually / individually. This requires that you have already added the staff as attendees to your site (e.g., through import from your registration service, or by importing them using steps 1 - 5 above).
- Visit Organizations
- Click on the exhibiting company you wish to edit
- Type the name of the person you would like to make the staff of that particular organization into the "Staff" field
- Save
Finally, staff on an organization can add OTHER staff, so you really only need to invite one person from each organization and then delegate responsibility for adding the rest of the staff to that person.
Inviting Exhibitor Staff
Now that your staff has the ability to edit their listing and scan leads, you need to tell them, so they know how to do it.
Pathable has authored a boilerplate template you can send to the exhibitor staff that will tell them how to get started.
- Visit Communications > Templates
- Click the "Use Template" button on the "Organization Staff Invitation"
- Make any edits you like to the template
- Click Select Audience
- Choose "New Filter", call it "Exhibitor Staff"
- From the three dropdowns, choose "Is the staff at an organization", "is", "Staff Only", then click "Save and Apply".
- Click Schedule
- Send immediately or pre-schedule the mail to go out at a later date.
