Pathable has the ability to automatically create a set of private meetings between your attendees during your event, based on their preferences. This is most often used for scenarios such as "hosted buyer" meetings, business speed dating or other types of paid-for 1:1 appointments. That is, the expectation is that you may be charging your attendees for providing meetings with qualified buyers, and we can facilitate that for you.
Defining the roles
The process begins with you designating two classes of attendee (e.g., buyer / seller, or investor / entrepreneur, or manufacturer / consumer). This step isn't necessary, but is common. You can do this using a label mapped in from a ticket type in your registration service, or set it manually. See the Making User Profile Attributes help topic for more information.
Want to Meet
The next step is to instruct your attendees to build a list of the people they "Want to Meet" with. To do so, they will review the attendee directory and choose "Want to Meet" on anyone they would like to add to their list.
Once they've added some people to their Want to Meet list, they can sort it into priority order by choosing the "Want to Meet" list option in the attendee directory and then drag-and-dropping the list into their preferred order.
Running the Auto-Scheduler
After everyone has chosen their preferred meeting partners, it's time to schedule the appointments. At this time, Pathable staff will have to run this step for you, but we plan to make this available on demand soon.
When you're ready to have the meetings scheduled, you will provide the following information to your Client Happiness Manager:
- The date(s) / time(s) when you would like the meetings scheduled, as well as the length of each meeting (e.g., "10/12/2020 from 10 AM ET - 12 pm ET and 10/13/2020 from 1 pm ET to 4 pm ET, in 15 minute blocks")
- The minimum number of appointments you would like each participant to receive. Pathable may assign more in order to ensure everyone gets their quota.
- The labels to use for auto-assignment (e.g., "Buyers meet with Sellers"). This will be used to supplement the user's preferences if the expressed preferences for particular participants are inadequate to meet their minimum quota of meetings.
- When you would like the auto-scheduler to be run.
We will run our auto-scheduling algorithm based on your participants "Want to Meet" data and the information provided above. This will produce a spreadsheet of one-on-one appointments based on your criteria that we will upload into our system.
These meetings are then held online, via the automatically provisioned virtual meeting rooms in Pathable.
